Event planning is one of my biggest loves. From the thrill of a black tie gala to the smallest gathering of supporters, a well-planned out event can elevate your non-profit or small business to rock star status!
When considering adding events to your business or non-profit strategy, the first thing you need to consider is it’s PURPOSE. Why exactly are you having the event? What is the goal? It is to raise funds for a cause? Is it to introduce yourself into the market? Is it to draw media attention or to celebrate a milestone? Whatever the purpose, it needs to be central to the planning process.
Next up – your GUEST LIST PROFILE. Does this surprise you? Before you decide anything further you need to know your audience. What are their demographics? Age? Will children be involved? Is it open to the public? Will they be donors or influentials? Will you need to please a broad spectrum of ages and tastes with the food, venue and entertainment you select?
After determining your targeted guests you can them move on to some of the “givens” like TIME, LOCATION and BUDGET. Figure out the items that are set in stone. For example: You only have $10,000 to work with. It must be held from 11:00 a.m. – 4:00 p.m. on a Saturday in June. With these and other “givens” in place you can start to explore your options.
Next up is all the fun stuff – the THEME, DECOR, ENTERTAINMENT and CUISINE selection. These event elements should work together to support the event’s ultimate objective. Be sure to dig deep into the “whys” of the event to select the the perfect compliment. There is no need to go elaborate if it is a small informal gathering. Be appropriate and keep your organization’s image in mind when planning. You wouldn’t want to offend or alienate potential donors or clients.
And don’t forget the TANGIBLES. Tangibles are parting mementos, that are featured at the event that tie back into the theme or purpose. Be it an elaborate parting gift or a small useful trinket, unique is always best if you want to be remembered!
Above all else – don’t be afraid to BE UNIQUE and set yourself apart from the crowd!
